We are currently looking for our next Property Coordinator based in our head office in Madrid.

The role: Taking the wheel at Hertz

The Property Coordinator under the direction of the Manager will be responsible for the comprehensive coordination and administration of services and contribute to the overall success of the Property Department, Spain.

Coordinating all administrative functions within the Department, supporting the Property & Facilities Manager and ensuring an excellent service is delivered to the Business.

  • Responsible for the day to day management of administrative and support services in the Property & Facilities Department, Filing, expenses, etc

  • Set up vendors, requisitions and PO’s, as appropriate and check and manage invoices and deal with queries raised by vendors, landlords and contractors, for the following functions

  • Manage and report on property and facilities schedules, timelines, cost tracking and other functions as directed, through the use of the manual or automated systems, as appropriate

  • Produce regular updates and reports required by the Business and as directed by Management.

  • Prepare correspondence to landlords and keep the lease documents in proper structure and format, as directed and in conformance procedures.

  • As agreed with the Manager and with minimum supervision, follow up on contractor, vendor and landlord issues, as requested or scheduled and take the initiative to ensure outstanding issues are dealt with in a timely manner.

  • Ensure compliance at all times with Hertz Policies and Procedures.

Knowledge

  • Proactive management and commitment to continuously improving the P&F administrative service.

  • A high level of competence in MS Word, Excel and PowerPoint

  • Ability to manage workload and time effectively and efficiently.

  • Self-starter with a high degree of initiative and ability to work with minimum supervision

  • Effective Report Writing skills.

  • Good communications skills

  • Commitment to personal development and advancement

  • Ability to analyse problems and present solutions

  • Ability to speak and communicate in English

  • Ability to operate effectively in a large complex organisation
