Role Overview
The Executive & Personal Assistant to the CEO will serve as a trusted partner, helping manage priorities, streamline operations, and ensure seamless coordination across both business and personal commitments.
This is a high-trust role that requires exceptional organization, discretion, and a strong "get things done" mentality. You'll support the CEO with everything from executive scheduling, communications, and travel to personal logistics and day-to-day priorities.
We're looking for someone proactive, resourceful, and comfortable operating in a fast-paced environment. No task is too big or too small—you take ownership, solve problems independently, and help keep things moving.
A background in legal, compliance, contracts, or corporate administration is a plus. A valid driver's license and access to a vehicle are required, as occasional local travel may be needed.
Key Responsibilities
Executive Support
- Manage complex calendars, scheduling, and meeting coordination across multiple time zones
- Coordinate internal and external communications on behalf of the CEO
- Prepare meeting agendas, presentations, reports, and follow-up action items
- Support business travel planning, expense management, and event coordination
- Assist with document management, contract administration, and corporate records
- Liaise with legal counsel, vendors, partners, and external stakeholders when required
- Maintain confidentiality and handle sensitive business information with discretion
- Track key deliverables, deadlines, and executive priorities
- Support cross-functional coordination between departments including Operations, Finance, HR, and Leadership
- Help streamline administrative and operational processes
- Provide ad hoc operational and project support as needed
Personal Assistant Support
- Manage personal appointments, reservations, and scheduling requirements
- Coordinate personal travel arrangements and itineraries
- Assist with personal administration, documentation, and organization of records
- Research and coordinate vendors, services, and personal projects
- Handle confidential personal matters with professionalism and discretion
- Anticipate needs and proactively manage day-to-day personal logistics
- Coordinate occasional errands and local logistics on behalf of the CEO
- Act as a trusted point of coordination across both business and personal priorities
Requirements
- 3+ years of experience as an Executive Assistant, Personal Assistant, Operations Coordinator, or similar role
- Valid driver's license and access to a reliable vehicle
- Comfortable managing occasional in-person errands, appointments, travel logistics, and administrative tasks that may require local travel
- Experience supporting CEOs, founders, C-level executives, or entrepreneurs is highly preferred
- Excellent organizational and multitasking abilities
- Strong written and verbal communication skills in English
- High attention to detail and ability to work independently
- Strong proficiency with Google Workspace, Microsoft Office, and collaboration tools
- Ability to prioritize effectively in a fast-moving environment
- Professionalism, discretion, and strong problem-solving skills
- Strong ownership mindset with the ability to proactively solve problems and drive tasks through to completion

Nice to Have
- Exposure to legal documentation, contracts, compliance, or corporate administration
- Previous experience in startups, tech, fintech, SaaS, or international companies
- Familiarity with communication and project management tools such as Slack, Notion, etc.
- Experience supporting globally distributed teams
- Additional European languages are a plus
