Administrative Specialist: Operations & Compliance

We are looking for a proactive and detail-oriented Administrative Specialist to join our support team. This isn’t just about filing papers; you will be the glue that keeps our administration, HR and safety protocols running smoothly. The Mission: Operational Excellence & Support

Based in our Madrid Hub, you will work across multiple departments—from Finance to HR—ensuring that our office remains a safe, organized, and efficient environment.


Your Key Responsibilities:

  • Accounting & Finance Liaison: Act as the bridge between the company and our external accounting firm. You will dive deep into financial records, preparing profit & loss accounts, balance sheets and managing accounting entries.
  • Safety & Prevention Lead: Take a proactive role in our Health and Safety Committee. You’ll manage Labor Risk Prevention (LRP) documentation, organize fire drills and ensure we meet all safety regulations.
  • Document & Data Management: Keep our administrative world organized and ensure we stay compliant with Data Protection (GDPR) when dealing with external providers.
  • HR & Office Support: Support the HR team with employee benefits, expense tracking, and travel arrangements. You’ll be a "go-to" person for the team's daily needs.
  • Expense Tracking: Efficiently process invoices and track internal expenses to keep our budgets on point.


What You Need to Shine ✨

  • Educational Background: Currently studying or recently graduated in Business Administration, Accounting or a related field.
  • Technical Awareness: A deep interest (and basic knowledge) in accounting principles and financial reporting.
  • Language Skills: Strong communication skills in English and Spanish (both written and verbal).
  • Detail Obsession: You have a "eagle eye" for accuracy—whether it’s a balance sheet or a safety certificate.
