We are looking for an Executive Assistant Coordinator to lead and coordinate a team of
Executive Assistants in an high standards and fast-paced environment, while providing direct
support to our EVP (Executive Vice President). This role requires a highly organized, proactive,
and strategic thinker who can oversee the efficiency of administrative operations, ensure
seamless coordination across executive offices, and act as a key liaison between senior
leadership and their teams.
The Executive Assistant Coordinator will not only manage critical executive support functions
but also drive best practices across the EA team, ensuring alignment with business priorities
and operational excellence.
Key Responsibilities
Leadership & Coordination of the EA Team * Oversee and coordinate the Executive Assistant
team, ensuring efficiency and high performance in supporting senior leadership.
● Implement best practices for administrative workflows, optimizing scheduling,
communication, and operational effectiveness.
● Act as the main point of contact between Executive Assistants and the leadership team
to ensure streamlined processes.
Executive Support to the EVP * Provide dedicated support to the EVP, managing calendars,
meetings, and high-priority projects.
● Serve as a key liaison between the EVP and internal/external stakeholders, ensuring
timely communication and follow-ups.
● Handle confidential matters with discretion, ensuring the EVP’s time and priorities are
optimized.
Administrative & Logistical Management * Oversee executive schedules, coordinate complex
calendars, and manage high-level meetings and events.
● Ensure meeting preparation, including agenda setting, document compilation, and
follow-ups.
● Support senior leaders in coordinating domestic and international travel, ensuring
smooth logistics.
Operational & Business Support * Drive efficiency in administrative operations, ensuring
seamless workflow within the leadership office.
● Support special projects, tracking deliverables and aligning initiatives with business
goals.
● Maintain organized records, reporting systems, and best-in-class administrative
practices.
What We’re Looking For
● Experience: 5+ years in an executive support role.
● Leadership Skills: Strong ability to coordinate, mentor, and manage a high-performing
team.
● Problem-Solving Mindset: Strategic, proactive approach to anticipating challenges and
streamlining operations.
● Tech Savvy: Proficiency in Microsoft Office (Outlook, Excel, PowerPoint) and
collaboration tools (Teams).
● Languages: Fluent in English (C1) and Spanish. Additional languages are a plus.
● Confidentiality & Professionalism: Proven experience handling sensitive and
confidential information at a senior level.
