Working Hours: Monday to Friday, 09:00 – 15:00

Location: Calahonda, Costa del Sol (In-Office)

Contract: Fixed-Term (6 Months), with possibility of extension / growth into full-time role

Reports to: Office Manager / Operations

As our business continues to grow, we are seeking a highly organized Back Office Administrator to join our team on a 6-month maternity cover contract, supporting our sales and after-sales operations.


If you have prior administrative experience in the Costa del Sol real estate sector and enjoy structured, detail-oriented work in a dynamic, fast-paced office environment, this role could be a great fit.


About the Role:

This is a key in-office administrative role focused on supporting our agents and management team behind the scenes. Your work will help ensure that transactions run smoothly, documentation is accurate, and clients receive a professional experience from reservation through to completion.


This is not a sales role - it is a structured back-office position ideal for someone who thrives on organization, coordination, and accuracy.


KEY RESPONSIBILITIES:


Administrative & Back Office Support:

  • Manage and update client and transaction data in our CRM (Pipedrive)
  • Prepare and organize reservation documents, KYC forms, and transaction files
  • Coordinate documents for e-signatures and proper record keeping
  • Assist with invoicing and administrative finance coordination
  • Maintain accurate internal records and compliance documentation


After-Sales Support:

  • Support follow-ups with lawyers, developers, and partner agencies
  • Help track transaction timelines from reservation to completion
  • Ensure required documentation is collected and properly stored
  • Assist in keeping transactions organized and on schedule


Office Coordination:

  • Provide administrative support to the sales and management team
  • Support internal communication and coordination
  • Assist with general office tasks as required


WHAT WE LOOK FOR:

  • Previous office administrative experience in Costa del Sol real estate (essential)
  • Fluent English and Spanish (spoken and written) 
  • Highly organized with strong attention to detail
  • Strong multitasking and prioritization skills
  • Comfortable using CRMs and digital document tools
  • Professional, reliable, and discreet
  • Positive team-player attitude
