Our client, a leading biotech company in Barcelona, is looking to add an Executive Assistant to their team.

Responsibilities

  • Calendar & Scheduling Management: Coordinate the CEO’s daily agenda, internal and external meetings, calls, and appointments, ensuring alignment across different time zones.
  • Travel Coordination: Plan and book complex international and domestic travel, including flights, hotels, transportation, and preparation of travel documentation.
  • Meeting Support: Organize executive and board meetings, including preparing agendas, gathering materials, taking minutes, and tracking follow-up actions.
  • Email & Communication Management: Manage and prioritize the CEO’s email inbox and other communications, drafting and responding to correspondence where appropriate.
  • Document & File Management: Maintain confidential records, organize files and reports, and support the preparation of presentations and business documents.
  • Stakeholder Liaison: Serve as the first point of contact between the CEO and internal/external stakeholders, including investors, partners, and team members.
  • Expense & Budget Tracking: Prepare and process expense reports, coordinate invoice approvals, and liaise with finance to support budget management.
  • Project Coordination: Support cross-functional initiatives, monitor progress on key strategic projects, and help ensure timely delivery of milestones.
  • Office & Event Logistics: Assist in planning off-sites, conferences, and executive events; support day-to-day office coordination as needed.
  • Confidentiality & Discretion: Uphold a high level of confidentiality and professionalism in handling sensitive information and executive-level matters.


Qualifications:

  • Proven experience (2+ years) supporting C-level executives, ideally in international or fast-paced environments.
  • Exceptional organizational and multitasking skills, with the ability to manage complex schedules across multiple time zones.
  • Strong written and verbal communication skills in English; Spanish or Catalan proficiency is a plus.
  • High level of discretion, professionalism, and ability to handle confidential information.
  • Proficiency with Microsoft Office or Google Workspace, calendar management tools, and expense reporting systems.
  • Proactive, adaptable, and able to anticipate needs while maintaining attention to detail.
  • Has to be based in Barcelona.
