Events Assistant - Part Time-Barcelona

• Research potential providers once event location is decided: hotels, catering companies, restaurants, transportation, etc.
• Track event attendance & details in our database
• Keep an accurate record of communications and activities with 3^rd parties, ie. sponsors, partners, hosts, etc.
• Maintain event websites up-to-date with logistics information as details become available
• Make arrangements for staff travel: book flights, book accommodation for small events, etc.
• On-site support during large events
• Assist the Event Coordinator with the following tasks:
  • Communication with members & guests: distribute logistics details in a timely manner, collect necessary information, etc.
  • Communication with hosts & sponsors: define needs prior to the event, coordinate event logistics, post event follow up, etc.
  • Communication with providers:  requests for proposals, pre-event coordination, etc.
  • Organization of event materials: collect information from attendees, communicate with printer, etc.
  • Event cost tracking

• Undergraduate degree in a related field: management, communications, tourism, etc.
• English language written and spoken required
• Ability to manage multiple projects simultaneously
• A team player with the ability to work independently
• Ability to work with external providers
• Ability to work in the EU
