The Opportunity
You will be responsible to provide administrative support to relieve and assist the organization of administrative duties. Coordinates activities between departments and external parties. Contacts company employees at all organizational levels to gather information and prepare reports. Work is generally of a critical or confidential nature. Represents the department in a polished and professional manner. Assignments may be in various functional areas.  


Job Facts

  • Partners with other Assistant(s) on a routine basis and provides back-up support to Leadership, demonstrating flexibility, adaptability and positive demeanor in the face of change; provides back-up support to teams outside of own work area and across functions, as necessary

  • Actively participates in internal company meetings with other administrative professionals, promotes new ways of working, improvements in work processes and fosters an exchange of ideas and supports among colleagues

  • Supports specific project work on special request

  • May also support other senior leaders or leadership teams  

  • Coordinates domestic/international travel and conference calls

  • Coordinates and manages office moves, office supply management and vendor relationships

  • Creates and submits purchase orders and compiles expense reports

  • Serves as the “go-to-person” for general operational or administrative inquiries, requiring exceptional knowledge of departmental and organizational policies and procedures. Develops and/or delivers administrative services training materials and tools; Supports the training and onboarding efforts for department/ functional new staff on administrative processes, systems, practices, tools, etc.


As the Administrative Assistant, incumbents in this role will be expected to:

  • Acting as a “culture ambassador” for the team and displays a professional demeanor that can serve as a role model and example to others, lead company-wide and/or site-wide administrative project initiatives,

  • May train and on-board new administrative staff

  • Ad-hoc participation in interview and selection of other administrative staff within unit

  • Other duties as assigned by management

Who You Are
Experience:

  • Associates Degree or equivalent experience

  • Extensive years of relevant administrative assistance experience

Knowledge, Skills and Abilities:

  • Computer skills with Microsoft Office applications, G-Suite and SAP

  • Organizational and planning skills, including the coordination of multiple activities

  • Business and financial acumen; has an in-depth and thorough understanding of business operations and capable of performing financial and other business analyses and reporting

  • Verbal and written communication skills. Communicates clearly, concisely, thoroughly and in a highly professional and timely manner with all internal and external partners/stakeholders.  Attention to detail.

  • Experience developing and/or delivering group presentations, administrative services training materials and tools

  • Proven track record and experience handling highly confidential or sensitive information in a consistently appropriate and effective manner

  • Eagerness to learn and willingness to proactively contribute to overall business success and team health

  • Problem solving and decision-making skills

  • Leadership skills and ability to drive process improvement best practice initiatives across an organization

  • Partnering and negotiation skills and ability to influence others without authority; strong collaboration skills

  • Interpersonal skills and considerable organizational savvy; knows how to navigate internally to find the appropriate resources and contacts in an expeditious and effective manner
